
Studio Policies 2025-2026
CLASSROOM POLICY:I understand as my child (ren’s) guardian that parents, relatives, and siblings are not permitted with students during classes inside the classroom, unless siblings are taking the same class with them, or invited by a teacher or staff member.​

ATTENDANCE POLICY:
I understand as my child (ren’s) guardian that my child (ren) must arrive on time, and have consistent attendance because it will disrupt their learning progress in the classroom and disrupt their class package.​
​
EARLY DROP OFF POLICY:I understand as my child (ren’s) guardian that if I drop off my child (ren) more than 15 minutes early at the U Design School of Art, the U Design School of Art will charge me a $1 Early Drop Off Fee for every 1 minute period.​
​
LATE PICK UP POLICY:
I understand as my child (ren’s) guardian that if I pick up my child (ren) more than 30 minutes late at the U Design School of Art, the U Design School of Art will charge me a $15 Late Pick Up Fee for every 30 minute period.​

ABSENT POLICY:
I understand as my child (ren’s) guardian that if my child (ren) needs to be absent for a class for any reason, I must notify U Design School of Art at least 24 hours in advance, by calling, leaving a voice message, text message, or by WeChat. Class may or may not be deducted as usual depending on the chosen class package.

MANAGEMENT CANCELLATION POLICY:
I understand as my child (ren’s) guardian that if a class session is canceled by the U Design School of Art, there will either be rescheduling, exchange, or refund issued.​

CLASS CHANGES & POSTPONEMENTS

Switching Different Class Types: Switching different types of classes might be available, space permitting, with a $35 Processing fee, at least 48 hours before rescheduled class start date.

Switching Class Time for the Same Type of Class: Switching class time for the same type of class might be available, space permitting, with no Processing fee, at least 48 hours before rescheduled class start date.

Pausing a Class Package: To pause a package for a certain amount of time due to any reason, a $35 Processing Fee is required. When returning, there will not be a fee to start the package.

Switching Class Package Type: To change a class package (i.e. fine art to digital), the family will need to pay the difference of the two packages in addition to the $35 Processing Fee.

Transferring Class Packages: To transfer a student’s package to another student, a $35 Processing Fee is required.

Exceptions to Processing Fees:
-
Student Promotion: If a teacher recommends that a student move up to the next class and the student is available at the scheduled class times, the student may advance to the next class level without any processing fees.

Teacher Recommendations: If a student has attended their class for a certain period of time and the teacher believes the student would benefit more from a different class, no processing fee is required to transfer the student to the recommended class or to adjust their class package.

MAKE-UP PASS POLICY:
Make-up passes are offered when a student cannot attend their usual class time due to any reason. Instead of deducting a class from the package, students can use their make-up pass at a later date, provided their package allows it. Make-up passes can also be used to take the student’s class on a different day and time if there is space available and the class is the same.

1 Month Package/4 classes: I understand as my child (ren’s) guardian that if I purchase the 1 month package, there will be no make-up class issued no matter the circumstances. Any absences will count as No Show, which will result in deducting classes from the 1 month class package.

3-Month Package/ 12 classes: I understand that as my child(ren)’s guardian, if I purchase the 3-month package, only one makeup class will be granted for one absence, provided I notify The Artist Lab at least 24-hour in advance. If I do not give 24-hour advance notice, the absence will be considered a ‘No Show,’ and a class will be deducted from the 3-month package with no makeup issued. Makeup classes must be used within the duration of the package and are not valid after the package expires.

9-Month Package/ 36 classes: I understand as my child (ren’s) guardian, if I purchase the 9-month package, there will be only 3 makeup classes issued for my 3 absences. These 3 makeup classes will only qualify if I give The Artist Lab at least 24-hour in advance. If I do not give 24-hour advance notice, the absence will be considered as a ‘No Show,’ and a class will be deducted from the 9-month package with no makeup issued. Makeup classes must be used within the duration of the package and are not valid after the package expires.

REGISTRATION FEE POLICY:
The registration fee pertains to families registering for classes at The U Design School of Art. It encompasses service fees associated with all class registrations, inclusive of a singular, one-time gift(s).

The registration fee does not apply to students who have joined our studio prior and are currently active as of 1/1/2024. Registration fee may apply in certain circumstances, see below.

The registration fee remains valid exclusively for presently enrolled and actively participating students. In the event that a student or family refrains from attending classes and remains inactive for a duration exceeding 3 months from the last class visit, re-registration with a new registration fee is mandatory. This policy only applies to the school year between Fall-Spring semester, the Summer season is excluded from this policy.

The registration fee is categorically non-refundable, and no exceptions will be entertained.

DROP IN POLICY:
The Drop In Policy pertains to families who purchase this add-on to class packages that are 3 months or 9 months long to allow for flexibility within their child (ren’s) schedule. The Drop In Policy also applies to classes that occur in the summer, not summer camp. Drop In Packages are by appointment only based on my child(ren’s) availability. Appointments must be made with U Design School Of Art’s Front Desk.

If your child (ren) is unable to attend your scheduled class and time, you must provide 24-hour notice by contacting U Design School Of Art’s Front Desk. Providing advanced notice will remove your child (ren) from the roster for that day with no deduction to the package.

If you provide at least 24-hour notice and wish to attend the class at another time, you will be offered alternative class times for the same class, subject to availability. Failure to provide 24 hours notice will result in the child (ren) counting as a ‘No Show,’ which will result in the deducting classes from the student’s class package.

3-Month Package/ 12 classes:

I understand as my child (ren’s) guardian that if I purchase a 3-month package, I will be charged an additional 8-10% of my chosen class package and will need to complete the 3-month package within 6 months of the purchase date.

9-Month Package/ 36 classes:

I understand as my child (ren’s) guardian that if I purchase a 9-month drop in package, I will be charged an additional 8-10% of my chosen class package and will need to complete the 9-month package within 12 months of the purchase date.

RETURN & REFUND POLICY:
All returns and refunds are at the discretion of UDesign School of Art.

I understand as my child (ren’s) guardian All Trial Class purchases are final sale and cannot be refunded or exchanged with no exceptions.

I understand as my child (ren’s) guardian All Presale, Discount, and Early Enrollment classes and camp purchases are final sale and cannot be refunded or exchanged, with no exceptions.

I understand as my child (ren’s) guardian All Regular-priced classes and Camp purchases can be returned for a partial refund of class tuition minus the $35 transaction fee within 14 days of purchase.

Within 3 days of purchase: 80% of tuition minus a $35 transaction fee

Within 3-14 days of purchase: 20% of tuition minus a $35 transaction fee

After 14 days: No refunds or exchanges, with no exceptions

I understand as my child (ren’s) guardian All Classes and Camps are final sale and cannot be refunded or exchanged, with no exceptions after the first class is in use. All unused classes and hours remaining in the class package are not exchangeable for other classes, camps, or other special events. No price adjustment will be issued for any packages.

I understand as my child (ren’s) guardian All Classes and Camps purchased during the Covid-19 (and its variants) pandemic will not be subject to refunds under no circumstances. Instead, Classes and Camps may be put on hold with management’s permission.

VALIDITY
All presale class packages purchased for the academic school year will be valid only for that specific academic school year. Any excess classes may be used during the summer. Any excess classes past the summer will become void/expired, with no exceptions.

EXPECTATIONS OF CLASSROOM ENVIRONMENT
All students are expected to behave respectfully and politely to studio materials, students, instructors, and staff. Notices will be given to disruptive students, and repeated notices will result in removal from the class, with no refunds, credits, prorated rates, or discounts given.
STUDENTS LEAVING THE STUDIO UNATTENDED
U Design School of Art will advise students to not visit other businesses during class hours, however, U Design School of Art cannot prevent the student from going, unless given written permission from the parent or guardian.
U Design School of Art is not liable for any students who leave the studio unattended unsupervised to go to other businesses during the studio’s business hours. Once the student leaves the studio, U Design School of Art is not liable for the safety of the student or their actions.

RELEASE WAIVER POLICY:
I understand that if I wish for my child(ren) to be released from UDesign School of Art unattended, I must request and sign the "Release of Liability" waiver provided by UDesign. I acknowledge that without a signed copy of this form, UDesign will not release my child(ren) from the premises before, during, or after class unless a guardian is present to accompany them.
​NO NUT POLICY
I understand as my child (ren’s) guardian the U Design School of Art does not allow nuts or nut related products inside the school premises. I understand as my child (ren’s) guardian, I will not pack any nuts or nut related products with my child (ren). I understand if my child (ren) brings nuts or nut related products inside the school premises, I, as his guardian will be held liable for his/her actions.​

ALLERGY POLICY
I understand as my child(ren’s) guardian, I must immediately notify the U Design School of Art or their employees or any involved parties of any severe allergies my child (ren) may have that result in severe medical consequences. I understand as my child (ren’s) guardian, the U Design School of Art and or their employees or any involved parties are not responsible or liable for administering medical aid to my children.

SICK CHILD POLICY​
I understand as my child (ren’s) guardian that under no circumstances, I bring my sick child (ren) to The U Design School of Art. If my child (ren) shows any signs of illness (see Symptoms Child Removal Policy), I will not bring them to the U Design School of Art. If they display any of these symptoms during class time, the child (ren) is unable to participate in the normal routine of the class and the U Design School of Art will call the guardians to take the child (ren) home.

I understand sick children can expose all other students & staff members who they come in contact with, who will in turn expose other students & members to illness. Because this is disruptive to other families, I understand my cooperation on this issue is extremely important.
In the event a child (ren) becomes ill and needs to be picked up, the parent(s) will be called and are expected to come pick the child up within 30 minutes.

If the parent(s) cannot be reached, or have not arrived within 30 minutes, the emergency contact guardian will be called and asked to come pick the child up. In the event a child complains about not feeling well during class, the parent or emergency contact guardian will be contacted to take the child home.

SYMPTOM CHILD REMOVAL POLICY:
I understand as my child (ren’s) guardian, the symptoms below qualify for the U Design School of Art or their employees or any involved parties to remove my child (ren) from the classroom which will result in me taking my children home early. I understand as my child (ren’s) guardian, if my child (ren) displays any of these symptoms, I will not bring them to the U Design School of Art.

Fever, defined as having a temperature of 100°F or higher taken on the forehead (a child needs to be fever free for a minimum of 24 hours before returning to school, that means the child is fever free without the aid of Tylenol®, or any other fever reducing substance.)

Fever AND sore throat, rash, vomiting, diarrhea, earache, irritability, or confusion.

Frequent scratching of the body or scalp, lice, rash, or any other spots that resemble childhood diseases, including ringworm.
-
Is irritable, continuously crying, or requires more attention than we can provide without hurting the health, safety or well-being of the other children in our care.
NOTICES AND MESSAGES:
I agree that The U Design School of Art will provide notices and messages to me in the following ways: (1) within the Service, or (2) sent to the contact information you provided us (e.g. telephone, email, SMS, text message, WeChat or post). I agree to keep my contact information up to date.
I may, at any time, update and amend my preferred method(s) of communication, opt out of receiving communications from Udesign, or change your contact details by contacting us at udesign.manager@gmail.com.
